ClinicOS for dental practices

An empty waiting room is the sign of a well-run practice.

Dentistry runs on precision scheduling — and gets ambushed by emergencies, overruns and walk-ins. ClinicOS gives every patient a live, honest view of their wait on their own phone, so the 2 pm crown that runs long doesn't wreck the 3 pm mood.

The problem

Sound familiar?

Every dental front desk fights the same three battles. None of them are about dentistry.

One overrun rattles the whole afternoon

A crown that takes forty minutes longer ripples through every booking after it. Patients stare at a frozen appointment time; your receptionist absorbs the frustration, one sigh at a time.

Anxiety builds by the minute

For nervous patients, sitting in front of a closed surgery door is the worst part of the visit. An unknown wait makes the chair scarier — and makes cancellations easier.

Emergencies don't book ahead

The cracked tooth that walks in at lunchtime has to fit in somewhere. Without a visible queue, walk-ins and booked patients collide at your reception desk.

The fix

What changes with ClinicOS

One QR poster at reception moves the wait out of your waiting room and onto their phones — with the chair-side details arriving before the patient does.

A wait they can watch

Walk-in and emergency patients scan, join with a name and number, and see their live place in line — from the car, the pharmacy, anywhere but your doorway.

Estimates that match reality

Wait times are learned from today's actual pace and shown as an honest range — never a made-up number that erodes trust when the schedule slips.

The chair-side brief

Chief complaint, a 0–10 pain score, last visit — your own intake questions, answered while they wait and delivered before they recline.

Calmer patients, easier dentistry

A patient who waited in daylight instead of dread arrives easier to treat. The queue page keeps them informed at every step, without your staff saying a word.

Five stars at the moment of relief

The rating prompt appears on the “visit complete” screen — precisely when the pain is gone and your patient loves you most.

Know your real chair time

Daily medians for waits and consultation lengths show exactly which slots overrun — evidence for smarter scheduling, not gut feel.

How it works

From pavement to consultation in three steps

No hardware, no integration project, no patient accounts. Put a poster on the wall and the queue moves to their phones.

Step 1

Scan & join

A patient scans the QR poster at your reception and types a name and phone number. That's the whole signup — ten seconds, any phone, no app store.

Step 2

Watch the line move

They see “You're #4 in line” and an honest wait range learned from your actual pace today — from the car park, the taxi rank or the café next door.

Step 3

Arrive prepared

While they wait, a short intake form briefs your team before the consult. Afterwards, a one-tap rating tells you exactly how the visit landed.

Questions

Answers before you ask

We run on appointments, not walk-ins. Is this still for us?

Yes. ClinicOS handles the part your appointment book can't: emergencies, walk-ins, and the knock-on delays when treatments overrun. Patients who arrive early or get bumped see a live, honest wait instead of silence at the desk — and your booked schedule stays exactly where it is.

Will elderly or less tech-savvy patients manage?

Joining is two fields on a normal web page — no app store, no password, no download. Anyone who'd rather just take a seat still can; your front desk keeps full control of the same queue from the admin portal.

Can we ask our own intake questions?

Yes — three to six questions per practice: free text, dropdowns, 0–10 pain scales and yes/no. Answers reach you before the consultation, with the exact wording of each question preserved for your records.

Is patient data safe?

Each visit gets its own expiring access token, and row-level security means no patient can ever see another patient's information. There are no patient accounts to breach, and queue joins are rate-limited against abuse.

Give your patients a wait they can trust.

One QR poster at reception. A calmer practice by Friday. Book a demo and watch your own queue move in minutes.
