ClinicOS for clinics & health centres

You can't fix a queue you can't see.

High-volume clinics run on flow — and flow has always been invisible. ClinicOS shows patients their place in line, and shows you the whole day: arrivals by hour, real waits, walk-aways. Your operations, finally on the record.

The problem

The operational blind spot

Most clinics discover their bottlenecks the same way patients do: standing in them.

Flow is invisible in both directions

Patients can't see the queue; you can't see the day. Bottlenecks announce themselves as a full room and a stressed front desk — hours too late to do anything about it.

Walk-aways vanish without a trace

Patients who give up after an hour don't file a complaint — they just never come back. Today you don't even know how many you lost, or on which days.

Rosters built on gut feel

Staffing Tuesday like Monday because nobody has the arrival curve. Overstaffed at 14:00, drowning at 08:00 — and no data to argue with.

The fix

What changes with ClinicOS

Every join, wait, consultation and walk-away becomes a timestamped record — and the waiting room becomes a number you manage, not a mood you absorb.

The operations record

Every join, status change, intake and patient-leave is written to a timestamped audit trail — the raw, arguable truth of your patient flow.

Daily flow stats

Visits, completions, cancellations, patient abandonment, median and p90 waits, consultation lengths — aggregated per clinic, per day.

Arrivals by hour

An hourly arrival curve turns rostering from folklore into arithmetic. Staff the 08:00 wave like you can see it coming — because now you can.

Experience, on the record

One-tap post-visit ratings with optional comments land alongside wait data — so you can see exactly where satisfaction breaks down.

Every site, one playbook

Each facility runs its own queue, its own intake questions and its own pace model — while every patient gets the same two-field join.

Governance-grade security

Row-level security on every table, token-scoped patient sessions that expire, rate-limited public endpoints, and staff-only data access via the admin portal.

How it works

From pavement to consultation in three steps

No hardware, no integration project, no patient accounts. Put a poster on the wall and the queue moves to their phones.

Step 1

Scan & join

A patient scans the QR poster at your reception and types a name and phone number. That's the whole signup — ten seconds, any phone, no app store.

Step 2

Watch the line move

They see “You're #4 in line” and an honest wait range learned from your actual pace today — from the car park, the taxi rank or the café next door.

Step 3

Arrive prepared

While they wait, a short intake form briefs your team before the consult. Afterwards, a one-tap rating tells you exactly how the visit landed.

Questions

Answers before you ask

Does this replace our clinical or booking systems?

No — it sits at the front door. ClinicOS runs the walk-in queue and its analytics; your clinical, billing and record systems stay exactly as they are. Scheduled-appointment check-in is on the roadmap.

What does rollout actually involve?

A QR poster at reception, and staff driving statuses from the admin portal. No patient accounts, no hardware, no integration project — a clinic can realistically pilot within a week.

How does pricing work?

A simple per-clinic subscription. Patients never pay, and there's no per-patient metering — a busy day costs the same as a quiet one.

What about language support?

English today, with isiZulu, Sesotho and Afrikaans next on the roadmap — including translated intake questions with language-neutral answers for your staff.

Is it POPIA-conscious?

It's built on data minimalism: a name, a phone number, and the intake answers you choose to ask. Every visit is locked behind its own expiring token, row-level security separates all data, and patients can never see anyone's information but their own.

Run the day on data.

Book a demo, watch a live queue move, and picture Monday morning with the arrival curve on your side.
